Privacy Policy

What we collect, how phone calls and caller information are handled, who processes it on our behalf, and how long we keep it. Plain language, no dark patterns.

1.Who we are

Intelligent Solutions LLC, doing business as Lemn Systems, is a New Hampshire limited liability company. We build and run AI phone agents that answer calls for small businesses.

This policy covers lemnsystems.com, our client dashboard, and the phone agents we operate on behalf of our clients. It works alongside our Terms of Service.

2.Two different roles

We handle personal information in two distinct capacities, and the difference matters for your rights:

  • As a business (a "controller") โ€” for information about our clients and prospects: the account you create, the lead form you fill out, the call you book with us, and your billing details. We decide how that information is used, and this policy governs it.
  • As a service provider (a "processor") โ€” for the calls our agents answer on a client's line. The client business decides what its agent says, what it captures, and how long records are kept. We process that data on their instructions and don't use it for our own purposes.

If you called a local business and reached its AI agent, your information belongs to that business, not to us. See Section 5 for how to reach them or us about it.

We collect only what the service needs. We don't buy personal information from data brokers, and we don't build advertising profiles.

4.Call recordings and transcripts

Calls answered by an agent are recorded, transcribed, and summarized so the business can review its leads. Recording is done at the direction of the client business, which is responsible for providing any legally required notice or consent โ€” some states, including New Hampshire and Massachusetts, require every party to a call to consent.

We support (and strongly recommend) a spoken disclosure at the start of every call. Callers who don't want to be recorded should end the call and contact the business another way.

Recordings are used to operate the service and to review and improve the quality of that business's own agent. They are not used to advertise to callers.

5.If you called a business and reached its agent

You are talking to a business's automated assistant, not a person, and not a Lemn employee. What you say may be recorded, transcribed, and sent to that business.

To access, correct, or delete what was captured, contact the business you called โ€” they control that record. You can also email us at [email protected] and we will route your request to them and assist with fulfilling it. Please tell us the business name and the phone number you called from so we can find the record.

Automated agents are not an emergency service and cannot contact 911. For an emergency, hang up and dial emergency services.

6.How we use information

  • Provide, operate, and support the service, including building and tuning your agent.
  • Deliver captured leads, summaries, and follow-up notifications to the client.
  • Bill you, meter usage, and send invoices and receipts.
  • Respond to your questions and provide support.
  • Secure our systems, prevent abuse and fraud, and enforce our Terms.
  • Comply with law and resolve disputes.
  • Improve the service. Where we analyze data to make the product better, we use aggregated or de-identified information that does not identify you, your business, or any caller.

We may send you service and billing emails about your account; those are not marketing and you can't opt out of them while you're a client. Marketing emails, if we send any, always include an unsubscribe link.

7.Who we share it with

We share personal information only with vendors that help us run the service, and only as needed for them to do their job. They are contractually restricted from using it for their own purposes.

We may also disclose information when required by law, subpoena, or valid legal process; to protect our rights, safety, or property, or that of others; or to a successor in connection with a merger, acquisition, or sale of assets (we'll notify you if that happens and this policy would change).

8.What we don't do

  • We don't sell your personal information, and we don't share it for cross-context behavioral advertising.
  • We don't run advertising or third-party analytics trackers on our site. No ad pixels, no session-recording scripts, no data brokers.
  • We don't use client call data to train general-purpose AI models for our own benefit or for other clients.
  • We don't ask agents to collect card numbers, Social Security numbers, or health information over the phone, and our Terms prohibit clients from configuring them to.

9.Cookies

We use two first-party cookies, both strictly functional:

  • lemn_token โ€” keeps you signed in. Signed, HTTP-only, expires after 7 days.
  • lead_token โ€” remembers the intake form you filled out so you can book without an account and we can pre-fill your details. Signed, HTTP-only, expires after 3 days.

That's it โ€” no advertising or analytics cookies from us. You can clear or block cookies in your browser, but signing in won't work without lemn_token. Third-party embeds (such as the voice demo widget) may set their own cookies when you interact with them. Because we don't track you across sites, we treat a browser "Do Not Track" or Global Privacy Control signal as already satisfied.

10.How long we keep it

  • Account and agent configuration โ€” while your account is active, and for a reasonable period afterward in case you come back.
  • Call recordings, transcripts, and summaries โ€” kept for the client's operational use. Clients can ask us to delete specific records, or all of them, at any time.
  • Billing records โ€” retained as long as required for tax, accounting, and legal purposes, typically seven years.
  • Server and security logs โ€” a short rolling window, typically weeks.
  • Lead form submissions from prospects who never became clients โ€” deleted on request; otherwise kept while there's an active conversation.

After a client relationship ends, we'll export or delete Client Data on written request, subject to records we're legally required to keep.

11.Security

We take reasonable technical and organizational measures to protect information, including encryption in transit (HTTPS/TLS), encryption of stored third-party API credentials, hashed passwords, restricted server access with key-based authentication, firewalling, and limiting access to the small number of people who need it.

No system is perfectly secure, and we can't guarantee absolute security. If a breach affects your personal information, we'll notify you and any regulators as required by applicable law.

12.Your rights and choices

Whatever state you're in, you can ask us to:

  • Access the personal information we hold about you, or get a copy of it.
  • Correct anything inaccurate.
  • Delete it, subject to records we must keep for legal or billing reasons.
  • Opt out of marketing email at any time.

Email [email protected] and we'll respond within 45 days. We may need to verify your identity first, and we won't discriminate against you for exercising these rights. If the data was captured by a client's phone agent, we'll forward your request to that business, since it controls the record.

13.State privacy rights

Several states โ€” including New Hampshire, California, Colorado, Connecticut, Virginia, Texas, and others โ€” give residents specific rights over their personal information, such as the right to know, delete, correct, obtain a portable copy, and opt out of sale, targeted advertising, or certain profiling.

We honor those rights for everyone, regardless of where you live, using the process in Section 12. As noted in Section 8, we do not sell personal information or use it for targeted advertising, so there is nothing to opt out of. If we deny a request, you may appeal by replying to our response; you may also contact your state Attorney General.

14.Children

Our services are for businesses and are not directed to children. We don't knowingly collect personal information from anyone under 16. If you believe a child's information reached us โ€” for example, through a recorded call โ€” email us and we'll delete it.

15.Where data is stored

We operate in the United States and store data on servers in the United States. Our vendors may process data in other countries. If you use the service from outside the U.S., you understand your information will be transferred to and processed in the U.S., where privacy laws may differ from those in your country.

16.Changes to this policy

We may update this policy as the service changes. We'll update the "last updated" date above, and for material changes we'll notify clients by email or in the dashboard before they take effect.
